CHALLENGE & SOLUTION

With seven different business systems and processes from supporting functions (including finance, HR, IT, safety, audit and risk) recently launched or soon to come online, they required a coordinated way to upskill leaders to maximise adoption and ongoing usage over time. From a change management perspective, ensuring a ‘joined up’ approach to the systems roll out was considered critical to avoid confused messages, unnecessary work and frustration for end users. They also saw this as an opportunity to reimagine their approach to systems training, and therefore sought a highly engaging approach that would boost energy and momentum across the organisation that was somewhat change-weary.

Under a 'New Ways of Leading' banner, we proposed a two-pronged approach to developing systems awareness and application, including a bespoke 'trade show' event for 350 leaders across 4 days, followed up by subject matter expert-led 'Deep Dive' sessions that provide more targeted information at the point of need. Training material developed for these two activities would then be used as part of manager induction activities to deploy to all new leaders. We partnered closely with system SMEs to identify key messages, create communication collateral and set up the event logistics for 10 trade show booths.

CALLOUT

Delivery at Scale
We leveraged our experience designing and facilitating large scale events for 100+ people to ensure an impactful and well-thought out Tradeshow. From set up to pack down, our end-to-end appreciation of the logistics required to run an event such as this ensured a seamless experience for attendees.

The 'Buzz' Factor
While getting necessary systems information across to participants within a relatively short timeframe was a key objective, so to was making the experience fun and memorable.  Our creative design skills came to the fore in identifying opportunities to create “buzz” throughout the Tradeshow including interactive activities, quizzes, spot rewards, and a major prize draw.

Enabler of Others
While SMEs were extremely knowledgeable within their domains, most had never presented in front of large groups before. To set both the SMEs and ultimately the overall Tradeshow up for success, we offered individual coaching to boost SMEs confidence and further develop their presentation skills. Through facilitating conversations at their respective booths, SMEs were able to raise their profiles within the business while also providing ‘stretch’ opportunities for up-and-coming SME talent who also got involved.

KEY OUTCOMES

The Trade Show approach was a novel format for the company and garnered lots of interest and participation, which was historically not the case for systems training. SMEs reported having a clearer understanding of leaders needs and requirements in using the systems post Trade Show, through being able to engage directly with end users.

Leaders reported that they had a better understanding of who to go to for help when accessing and using the new systems as a result of meeting SMEs at the Tradeshow.
